Scanning tickets at the door
Use the mobile app to scan attendee QR codes, validate tickets in real time, and prevent reuse.
When the event is happening, your team uses the Events scanner in the Rowie mobile app to admit attendees. The scanner is mobile-only. There's no in-portal scanner.
Open the scanner
- Open the Rowie app on iPhone or Android.
- The bottom tab bar shows an Events tab whenever you have at least one upcoming or live event (published, and not more than 24 hours past its end time).
- Tap Events. You'll see a list of active events with each event's name, start time, and a live scanned-of-sold progress bar.
- Tap the event you want to scan for. The camera opens to a full-screen viewfinder with a scan area framed in the centre.
If the camera isn't available or permission hasn't been granted, the app prompts you with Enable Camera before the viewfinder opens. The scanner needs camera access on the device.
Scanning
Hold the customer's QR (on phone, printed ticket, or Apple/Google Wallet pass) inside the scan area. Each unique QR is processed at most once per session, with a 1.5 second cooldown between any two scans. That stops the camera from spamming while a code is held in frame, and gives door staff predictable pacing while patrons are queued.
Results:
- Green check plus success haptic. Ticket valid. The attendee is in, and the ticket is marked as scanned.
- Red X plus warning haptic. Ticket has already been scanned. The card shows the customer name, tier, and the scan timestamp.
- Silent (no card). The QR is invalid for this event (wrong event, refunded, cancelled, or simply not a Rowie ticket). Door staff get a light haptic on every camera read so you know the device saw the code, but unrelated QRs (loyalty cards, random URLs, last week's event) don't paint the screen.
The active event pill at the top of the scanner shows live scanned / sold progress. If multiple devices are scanning the same event, every device sees the same number. The "already scanned" check is centralised, so two devices can't both let the same ticket through.
Switching events
Tap the event pill at the top of the scanner to return to the event list and pick a different event. The per-code dedupe resets when you change events, so a ticket from yesterday's event won't be blocked from being re-tested today.
Recent scans
Below the camera, a Recent scans drawer shows the last 20 valid scans for the current event (loaded fresh when you open the scanner). Each row shows the attendee name (or message), tier, and scan time.
Manual entry / refunds / resends
Manual scan-from-the-vendor-portal isn't part of the mobile scanner today. To admit a customer whose QR won't read, or to resend a ticket email, do it from the vendor portal:
- Vendor portal → Events → open the event → Tickets tab.
- Search by name or email.
- Use the row buttons to resend ticket email (60-second cooldown), refund, or expand a multi-ticket purchase to act on a single ticket.
Refunds use the original payment method and the original ticket currency, even if your org currency has changed since the purchase.
Multiple scanners
Multiple devices can scan the same event simultaneously. The progress count updates in real time across all devices.
After the event
Once 24 hours have passed since the event's end time, the Events tab disappears from the bottom bar (unless another event is upcoming or live). Past events stay accessible from the vendor portal under Events in the sidebar for ticket history, stats, and refunds.
